What each YARDtwin role is for, in plain words, and which page it opens on.

All site staff, Implementation partner, Carrier, Supplier, Driver
Plan

Every person who signs in to YARDtwin has one role. The role decides which items appear in your menu, which page opens when you sign in, and what you're allowed to change. You can see your role under your name at the top right of every screen.

Your administrator gives you your role when they invite you, and can change it later. See Users and invitations.

Tip

For the exact menu each role sees, item by item, see Who can see what.

Office and management roles

RoleWhat it's forOpens on
AdministratorRuns YARDtwin for your company. Sees everything, and is the only role that can open Site Admin: site settings, billing, integrations, single sign-on and the layout builder. Only an administrator can make someone else an administrator or change a user's e-mail address.Scheduling
Ops ManagerRuns the site day to day: the scheduling board, gate, docks, yard, carriers, reports, exceptions and service levels. Can invite and manage users, except administrators.Scheduling
Yard ManagerHas almost the same menu as an Ops Manager. A few tasks are kept for Ops Managers and Administrators, such as shift reports (not in a Yard Manager's menu), changing a carrier's service-level targets, and adding or changing carriers.Scheduling
OperationsPlanners and office staff. Works with bookings, docks, the yard map, move tasks, documents and compliance checklists. Doesn't see the gate screens, carriers, reports or settings.Scheduling
Quality (QA)Reviews and signs off. Can look at almost everything (bookings, the gate, the yard, carriers, documents and reports) and works the compliance, inspection and audit-log screens, and the warehouse QA queue (Warehouse QA queue in the menu). Opens Site Admin for one tab only, Site blueprint, to run and sign its validation scenarios. Doesn't administer the account, run a dock shift or review carriers' change requests.Scheduling
ViewerFor people who need to look, not act: the dashboard, the scheduling board, the yard map and reports.Dashboard

Site floor roles

RoleWhat it's forOpens on
Gate GuardChecks trucks in and out at the gate, verifies seals and runs gate inspections. Can also see the scheduling board. The gate
Warehouse Operations StaffWorks the docks: starts, monitors and completes each trailer, and handles holds. Also sees seals, inspections, documents and compliance checklists. The dock board (Start dock shift first if no shift is open)
Yard JockeyMoves trailers around the yard. Works from a phone or tablet task list and can see the yard map and scheduling board. The task list
Note

Some older accounts have an Operator role. It can use the gate, yard, scheduling and carrier screens, but not the dock screens, reports or settings. Nobody new is given it, but these accounts keep working and can still be edited; their role shows as Operator.

People outside your company

RoleWhat it's forOpens on
Implementation partnerAn outside consultant or integrator who sets your site up. Sees one thing: Site Admin → Site blueprint for the sites an administrator has named for them — the answers, the recommended settings, and the validation scenarios, which they can run and sign. They cannot apply the blueprint (your administrators do that), and the rest of the app is closed to them, including bookings, the yard and reports. Only an administrator can invite one, and must limit the account to named sites first (📍 in Settings → Users). See Site blueprint.Site Admin → Site blueprint
CarrierA haulier's staff. Books and manages their own company's deliveries and collections, drivers and trailers in the carrier portal. They never see other carriers' bookings. See The carrier portal.Carrier portal
SupplierA company that sends you goods. Books delivery slots and follows its own deliveries in the supplier portal. See The supplier portal.Supplier portal
DriverMost drivers never sign in. They get a link by text message or e-mail that opens their own phone pages. See The driver's phone pages. A driver who does have an account sees three menu items: Scheduling (only the bookings assigned to them or booked by them, read-only), Documents (their own uploads, which they can add to their own bookings) and Notifications.Scheduling

Good to know

  • A role is for one organisation. If you work for two companies that both use YARDtwin, you have a separate account in each, and you choose which one by typing its Organisation ID when you sign in.
  • Your company can fine-tune roles. An administrator can switch individual permissions on or off for a role, so your menu may differ slightly from this guide.
  • Access can also be limited by site. An administrator can restrict a user to named sites with 📍 on the user's row in Settings → Users. That user only sees those sites in the site switcher. See Invite and manage users.
  • A page your role can't open sends you to one it can. Open a bookmark or link to a page that isn't in your menu and YARDtwin takes you to the page your role opens on (or, if your administrator has switched that one off for your role, the first page in your menu). If your role can open no page at all, you see No pages available for your role: ask your administrator to check your role and its permissions.
  • There is always at least one administrator. YARDtwin won't let the last active administrator be removed or demoted. Make someone else an administrator first.
  • Quality is kept apart from operations. Only an administrator can give someone the Quality (QA) role or take it away; an ops manager can't. The same goes for the Implementation partner role, which single sign-on and SCIM groups never hand out.
  • Some modules hide menu items. If your site doesn't use a module, such as yard-jockey tasks or the Life Sciences screens, its menu items don't appear for anyone. See Turn modules on and off.
