Booking statuses

Every status a booking can have, in the order a truck goes through them, what each one means and what can come next.

Every booking has a status that shows where the truck is in its visit. The status changes as the truck is booked, checked in at the gate, docked, loaded or unloaded, and checked out. Most changes happen by themselves when someone does the work on the gate or dock screens.

The normal journey

StatusWhat it meansWhat usually comes next
Awaiting approvalBooked by a carrier, a supplier or through a booking link at a site where a planner must approve such bookings. The slot is held, but the gate can't check the truck in yet.Confirmed when a planner approves it on the scheduling board, or Cancelled if it's rejected. See The scheduling board.
ScheduledBooked. The truck hasn't arrived yet.Confirmed, Arrived or Checked In
ConfirmedThe booking is accepted and the truck and driver are known, for example when a carrier books with both, or a planner approves the booking.Arrived or Checked In
ArrivedThe truck is at the gate but hasn't been checked in yet. This is set by a number-plate camera, by the driver's phone location, or by hand.Checked In
Checked InThe truck has passed the gate checks and is on site.Docked, or Waiting if its dock isn't free
WaitingChecked in and waiting in the yard or a staging area for a dock.Docked
DockedThe truck or trailer is at a dock door.Unloading or Loading
Unloading / LoadingThe dock team has started work. Inbound loads are unloaded, outbound loads are loaded.Complete
CompleteThe work at the dock is finished. The truck is still on site.Ready to depart, or Departed
Ready to departThe dock has released the truck to the gate, for example with Notify gate. Some screens show this as ready_to_depart.Departed
DepartingShown for a moment while the yard map moves the truck to the exit. It turns into Departed by itself.Departed
DepartedThe truck has left the site. The visit is closed.—
Checked OutTreated the same as Departed.—

Ending early

StatusWhat it means
DelayedSomeone in the office has marked the truck as running late before it arrived. It can still arrive and be checked in.
CancelledThe booking was cancelled. A reason is always recorded, such as carrier delay, customer request or duplicate booking. If it was cancelled at short notice, it also counts as a late cancellation. See Review exceptions.
No ShowThe truck never arrived. A reason is recorded, such as driver no-show or wrong site.

Departed, Checked Out and Cancelled are final: the booking can't be moved on from them.

Special cases

  • Trailer dropped. Only on drop-trailer bookings, and only where the site keeps the booking open when the tractor leaves. The tractor has gone but the trailer it left still needs to be worked. The booking goes to Departed when the trailer's work is done or the trailer leaves.
  • Undoing a no-show. A booking marked No Show can be put back to Scheduled or Confirmed by an authorised user, with a reason. The carrier's no-show rate is then recalculated.
  • Automatic no-shows. If your administrator turns this on (it's off by default), a booking that is still Scheduled or Confirmed becomes No Show a set time after its slot ends, 30 minutes unless changed. A truck that's known to be on its way isn't marked.
  • Visits that never closed. A truck checked in more than 48 hours ago, with no departure recorded, is closed as Checked Out automatically once its booking's day is more than a day past. Dropped trailers are left open. The truck did arrive, so the visit isn't counted as a no-show. No departure time is made up: the visit is left out of turnaround figures, its notes say auto-cleanup: stuck on-site > 48h, no departure recorded, and the audit log records the change. To deal with these sooner, see Check yard health.

Late, held and other flags

Some things you see on a booking aren't statuses:

  • Late. When a truck checks in, YARDtwin records how many minutes after its slot it arrived. More than 15 minutes counts as late, unless your administrator has changed this.
  • Holds. A seal problem, a failed checklist or a warehouse hold doesn't change the booking's status, but it can stop the truck leaving until it's cleared. See Complete or hold a trailer and Check seals.
