Combine deliveries onto one truck

Put several inbound deliveries on one truck so they come in one slot at one dock and move together, while each delivery keeps its own goods receipt.

Sometimes two or more inbound deliveries, each with its own booking (for example two SAP inbound deliveries booked on different days), turn out to come on the same truck. Combining them makes them one truck: one slot, one dock, one check-in, one unload and one departure. Each delivery keeps its own booking and its own goods receipt.

From then on the deliveries move together. Change the time or dock of one and the others change with it. Check the truck in and every delivery is checked in. Receipt the truck and every delivery is receipted. The board, the gate, the dock board and the yard map show one truck, labelled with all its deliveries, for example 80001234/80001235.

Administrators, Operations managers and Operations users can combine deliveries. An administrator first switches on Combined deliveries for the site under Site Admin → Yard-map operations.

Combine deliveries

  1. On the scheduling board, click Select.
  2. Tick the inbound deliveries the truck brings. They can be on different days: your ticks are kept when you change the day.
  3. Click Combine (n).
  4. In Combine deliveries onto one truck, check the truck's date, start, end and dock. They are filled in from the earliest delivery, with enough time to unload them all. Change them if the truck comes at another time.
  5. Check the summary: the truck's label and These deliveries move to the truck's slot, showing each delivery's old and new time. If the dock is already taken then, the window says which booking is in the way.
  6. Click Combine onto one truck.

You can only combine inbound bookings that haven't arrived and aren't on another truck visit. If the deliveries have different hauliers, choose the Haulier for the truck. The other haulier then no longer sees the delivery in its portal.

What you'll see

  • On the board the truck is one bar showing the label and ⧉ with the number of deliveries. Hover over it to list them. In the list below the board, the other deliveries sit under the truck's main booking, marked on truck ….
  • In the booking's Edit Appointment window, Combined truck shows the truck slot and each delivery with its SAP number, supplier, pallets and state. The main delivery is the one the truck is gated, docked and tracked under.
  • To add another delivery, open the truck's main booking and choose it under Combined truck. You can pick any inbound booking within 7 days; it moves to the truck's slot and dock.
  • At the gate the truck appears once. Look it up by any of its delivery numbers or booking codes. Check it in once.
  • At the dock, unload the truck once. On Complete, enter Pallets received per delivery. Each delivery gets its own goods receipt for what came off for it.
  • At departure, one signature releases the truck with all its deliveries.

Take a delivery off the truck

Before the truck arrives, open the truck's booking and click Split off next to the delivery. It becomes its own booking again and keeps the truck's slot and dock, so move it afterwards if it should come at another time. If only one delivery would be left, the truck stops being combined. Once the truck has arrived, deliveries can't be split off or added.

Cancelling one delivery takes just that one off the truck; the truck still comes with the others.

Pairing at the gate

Nobody combined the deliveries, and the truck turns up with both? With Pair deliveries at the gate switched on for the site, the gate guard does it at the gate: the scan screen lists the other bookings for the same number plate under Also on this truck?, and Pair and gate in once combines them, with the booking the guard opened as the main delivery. The truck keeps that booking's date, start and dock, and its end moves to leave time to unload every delivery (a dock booked by another truck in that time is a warning for the guard, not a refusal). A delivery that has already arrived on its own, been checked in or been marked a no-show can't be combined at the gate. Until the truck is authorised, Undo pairing puts every delivery back as it was. See Check a truck in.

Deliveries from SAP

If SAP puts several inbound deliveries on one transportation unit (TU), YARDtwin can combine them by itself. An administrator sets Shared TU / visit reference from SAP to Worked together (combined truck) in the SAP / EWM settings, with Combined deliveries switched on. The truck takes the earliest delivery's slot, and SAP is told about every delivery whose date or time changed. YARDtwin registers one TU for the truck, sends a goods receipt for each delivery, and tells SAP when a delivery moves, joins or leaves the truck. If SAP sends a delivery again with the date it already had, the truck stays where it is. If SAP sends a new date, the whole truck moves.

If something goes wrong

  • "Combined deliveries are switched off for this site": ask an administrator to switch on Combined deliveries under Site Admin → Yard-map operations.
  • The dock is already booked then: pick another time or dock in the window.
  • A delivery can't be ticked: it is outbound, has already arrived, or is on another truck visit. A delivery that's already on a combined truck is added by ticking the truck's main booking.
  • "This delivery is on combined truck … and moves with it": change the slot or dock on the truck's main booking, or split this delivery off first.
